Setup RIM BlackBerry for Two-Way Wireless Sync

This will help you setup full two-way synchronization of e-mail, calendar, contacts, notes, and tasks between your Blackberry handheld and your Hosted Exchange mailbox using our Blackberry Enterprise Server (BES) v4. To see a full list of features, click here.

NOTE: We are only able to help you with connecting your device to your Exchange mailbox. We are not able to help you with any other issues, such as connecting the device to your computer, to the Internet, etc.

PREREQUISITES:

  1. A Hosted Exchange account with us. Don't have one yet? Click here to read more about Exchange Hosting.
  2. Your Hosted Exchange mailbox with us is Blackberry-enabled. Log into our online control panel, click on "Add/Change/Delete Users", locate the user you wish to enable and click on "Blackberry" in the last column on the right.
  3. A Blackberry device with cradle connected to your computer.
  4. An existing wireless Blackberry Data plan (a Web plan is not sufficient; you *must* have a Data plan) from a cellular provider, such as Verizon Wireless, T-Mobile, AT&T Wireless, Cingular, Sprint, Nextel, etc.
  5. Your operating system is Microsoft Windows 2000 or XP.
  6. An MS Outlook 2000/2002/2003 already setup and connected to your hosted Exchange account. MS Outlook 2003 is strongly recommended.

SECTION A - Determine firmware version:

  1. On your handheld, check the firmware version by using either of these methods, depending on your model:
    • Options -> About
    • Settings -> About
    • Press ALT + CAP + H
  2. You will see a number such as 3.x.x.x or 4.x.x.x for the version.
  3. If you see 3.x.x.x., please check with your cellular provider to see if they have released an updated v4 firmware for your specific model.
    • If v4 firmware is NOT yet available from your cellular provider, then proceed to Section B below.
    • If v4 firmware is released, please obtain it and download it to your hard drive - do not run it yet. Please proceed to Section C.
  4. If you see 4.x.x.x.x, please proceed to Section D below.

SECTION B - Setup process for 3.x.x.x handhelds with no v4 firmware availability:

  1. Do you already have the Blackberry Desktop Software installed on your PC? If so: 1) Do a full Sync, 2) You must do a clean uninstall first - click here for step-by-step instructions.
  2. Open MS Outlook and make sure that you are logged in and properly connected to your hosted Exchange mailbox.
  3. Download from here and install / "Run" the latest version of the BlackBerry Desktop Software - v4.0. This download is about 27MB.
  4. Follow the instructions until you see the "Setup Type" window; select "Typical".
  5. At the "Email Integration Options" window, choose "Blackberry Enterprise Server or Blackberry Desktop Redirector"
  6. At the "Choose Email System" window, choose "Microsoft Exchange (typically used with Microsoft Outlook client)"
  7. At the "Email Redirection" window, choose "Redirect email using the Blackberry Enterprise Server"
  8. At the "Shortcut Installation Options", UNcheck "Start desktop manager automatically each time the computer starts".
  9. If you see a window with "The software you are installing for this hardware: RIM Handheld has not passed Windows Logo testing ....", click on "Continue Anyway"
  10. Finish the installation and launch the Blackberry Desktop Manager
  11. Connect your Blackberry device to your computer via the supplied cable or cradle.
  12. If you're asked to log in, use your regular Outlook login information.
  13. If you're asked to set a pin number, move your mouse around and follow the instructions.
  14. Sync your device, if prompted.
  15. In the Desktop Manager, double-click on "Intellisync" and click on "Synchronize now" and wait for it to finish. *Make sure to do this step before proceeding*
  16. Optional: To synchronize your Blackberry calendar wirelessly (only if your device supports this): In the Desktop Manager, double-click on "Intellisync", click on "Configure PIM". Click on "Calendar", click on "Choose", select "Blackberry Wireless Sync", and click on "OK".
  17. Perform another synchronization: in the Desktop Manager, double-click on "Intellisync" and click on "Synchronize now" and wait for it to finish.
  18. In the Desktop Manager, double-click on "Redirector Settings". Check on "Redirect incoming messages to your handheld" and click on "OK".
  19. Please perform *another* synchronization: in the Desktop Manager, double-click on "Intellisync" and click on "Synchronize now" and wait for it to finish.
  20. Test by sending an e-mail message; it often takes up to 15-20 minutes for the system to activate.

SECTION C - Setup process for 3.x.x.x handhelds, you have downloaded v4 firmware to your PC:

  1. Download the v4 firmware for your handheld on to your hard drive. Do not run this yet.
  2. Do you already have the Blackberry Desktop Software installed on your PC? If so: 1) Do a full Sync, 2) You must do a clean uninstall first - click here for step-by-step instructions.
  3. Open MS Outlook and make sure that you are logged in and properly connected to your hosted Exchange mailbox.
  4. Download from here and install / "Run" the latest version of the BlackBerry Desktop Software - v4.0. This download is about 27MB.
  5. Follow the instructions until you see the "Setup Type" window; select "Typical".

  12. Connect your Blackberry device to your computer via the supplied cable or cradle.
  13. If you're asked to log in, use your regular Outlook login information.
  14. If you're asked to set a pin number, move your mouse around and follow the instructions.
  15. Sync your device, if prompted.
  16. In the Desktop Manager, double-click on "Intellisync" and click on "Synchronize now" and wait for it to finish. *Make sure to do this step before proceeding*
  17. Close the Desktop Manager
  18. Run the downloaded v4 firmware code that you obtained from your cellular provider
  19. Connect the BB device to the cradle/cable
  20. Launch the Desktop Manager
  21. Click on "Update Now" and follow the prompts on the Application Loader wizard
  22. You do not have to run Desktop Manager again. Do NOT do sync's via the Desktop Manager; all PIMs (Calendar, Contacts, Tasks, & Notes) will be completely sync'd wirelessly.

SECTION D - Setup process for 4.x.x.x handhelds:

  1. If possible, do a "Wipe" on your handheld. NOTE: Any changes made on the handheld that have not been sync'd to your Outlook will be *lost*. Do not do a Wipe if you have unsynchronized data on your handheld. To do a Wipe: on your handheld, go to: Options -> Security -> Wipe Handheld, and follow the prompts.
  2. Make SURE to disable server-side SPAM Filtering: Log into WebMail here, click on "Options" on the bottom left, uncheck "Filter Junk E-mail", and click on "Save and Close" at the top.
  3. Close any Microsoft Outlook clients that you currently have open attached to your mailbox.
  4. Make sure that you have a strong signal on the handheld: Options -> Status -> Signal. This value is a negative number; for a successful activation, it should be between 0 and -90. If not, please find a location which is between 0 and -90.
  5. On your handheld, go into Options -> Enterprise Activation ->
    • E-mail Address: your Primary email address (You@YourDomain.com)
    • Password: the password from the BES activation confirmation e-mail that you received from us. Make sure that you keep the "Alt" or the "Number" key down when typing in numbers! Also, this is NOT your regular Outlook/Exchange password. NOTE: If you have not successfully activated 2 or 3 times, then you need to send us an e-mail to reset your Activation password.
  6. Over the next few minutes, your handheld will download a new service book and start sychronizing your PIMs (Calendar, Contacts, Tasks, & Notes) wirelessly.
  7. Enable server-side SPAM Filtering: Log into WebMail here, click on "Options" on the bottom left, check "Filter Junk E-mail", and click on "Save and Close" at the top.
  8. NOTE: you do not need to install any software as all synchronization is done completely wirelessly.
