Setup Outlook 2002/2003 on Windows 2003

NOTE: If you have Outlook 2002, then we strongly recommend that you upgrade to Outlook 2003, for which you get a free copy as a customer of ours - send us an email to request it. Your experience will be better with Outlook 2003.

NOTE: If using Outlook on a Windows 2003 Terminal Server: Microsoft has disabled Cached mode.

Pre-requisites: before you can configure Outlook 2002/2003, you will need the following:

  1. If you're using Outlook 2002, send us an email to request a free copy of Outlook 2003.
  2. Your Outlook setup information with your username, password, server name, etc. This can be found in either the the welcome setup e-mail or you can log into the Naples-Digital-Services Control Panel and click on "View Outlook Setup Info."
  3. A working connection to the Internet -- You will not be able to fully configure the software unless your system can connect to the mail server.
  4. Microsoft Outlook installed with the latest Service Packs & patches: Click here to check for updates. NOTE: Make sure that you have your original MS Office CD's before doing this!

Section A: Pre-configuration

  1. Download and run the pre-setup software: Click on this link - http://www.Naples-Digital-Services.com/Downloads/OLSetup.exe and select "Open". Follow the prompts to finish the setup. If MS Outlook is open, you must close it down first.
  2. Launch Microsoft Outlook. The setup is different if you have run Outlook before or not. Once you launch Outlook, do you see a "Microsoft Outlook Setup Wizard"? If so, proceed to Section B. Otherwise, proceed to Section C.

Section B: When using Outlook for the first time

The first time you start Outlook, the Microsoft Outlook Setup Wizard will run and step you through the configuration process. If the Wizard does NOT run when you start Outlook, then Outlook has been run at least once before; - proceed to Section C for instructions.

  1. Make sure that you have run the Pre-Setup software (Section A).
  2. Launch Outlook: Outlook Startup: Click Next.
  3. Account Configuration: E-Mail Account: Select Yes, click Next.
  4. E-Mail Accounts: Server Type: Select Microsoft Exchange Server, click Next.
  5. E-Mail Accounts: Exchange Server Settings:
    a. Microsoft Exchange Server: ("Exchange Server" - from A-1 above. E.g.: "MAIL006")
    b. Mailbox: enter your username (it will be in this format: company.username)
    c. Click on Check Name
    d. You will be prompted to logon. If you see only two fields: username: "MAIL\<your company.username>" and your password; if you see three fields: username: <your company.username>, password, and Domain: MAIL.
    e. Click OK
  6. E-Mail Accounts: Congratulations!: Click Finish.
  7. You're ready to use Outlook! Every time you start Outlook, you will be prompted to logon with your username, password, and domain. Use MAIL for the domain. The login process takes 15-30 seconds - please be patient.

Section C - Steps to Configure Outlook - if Outlook has been run before:

Manual setup of Outlook is necessary if you have previously ran Outlook, whether or not you created a profile and/or account.

  1. Make sure that you have run the Pre-Setup software (Section A).
  2. Click the Start button in the lower left corner of your screen.
  3. Depending on your system, either select Control Panel or select Settings and then Control Panel.
  4. DOuble-click the Mail icon.
  5. In the Window that opens, click the E-mail Accounts button.
  6. Select "Add a new e-mail account" and click Next.
  7. E-Mail Accounts: Server Type: Select Microsoft Exchange Server, click Next.
  8. E-Mail Accounts: Exchange Server Settings:
    a. Microsoft Exchange Server: ("Exchange Server" - from A-2 above, e.g.: "MAIL006" or "BE001". Do not add ".mail.lan"! )
    b. Mailbox: enter your username (e.g. company.username)
    c. Click on Check Name
    d. You will be prompted to logon with your username (e.g. "MAIL\company.username") and password.
    e. Click OK
  9. If you had already setup Outlook to receive mail using a Personal Folder on your laptop, the system will warn you that mail from Exchange Server will be delivered to the Personal Folder and ask if you want to continue. Click Yes.
  10. Click Finish.
  11. Click E-mail accounts button again.
  12. Select "View or change existing e-mail accounts" then click Next.
  13. IMPORTANT! At the bottom of the window, you will see an item that says "Deliver new e-mail to the following location". Make sure that this is set to Mailbox - Name, where name is your name. Do NOT set it to be Personal Folder, otherwise your mail will be removed from the server and it will only be on your computer.
  14. Click Finish.
  15. Click OK.
  16. You're ready to use Outlook! Every time you start Outlook, you will be prompted to logon with your username ("MAIL\company.username"), and password. The login process takes 15-30 seconds - please be patient.
